Getting ahead: Tasks to tackle in the last two weeks of August

August 10, 2024

As a law office manager, you know that September often brings a surge of activity. Whether it’s new cases, court dates, or the ramping up of ongoing projects, the post-summer period can be intense. That’s why the last two weeks of August are the perfect time to focus on tasks that will set your office up for success in the months ahead. Here are some key jobs to consider getting done before things get busy again.

1. Conduct a File Audit

August is an ideal time to review and organize client files. Whether physical or digital, ensure that all files are complete, properly labeled, and easy to access. Purge outdated or irrelevant documents, and make sure that all important information is up-to-date. A well-organized filing system will save you time and stress when September rolls around.

2. Review Financials

Before the rush of September, take a deep dive into your law office’s financials. Review the budget, track expenses, and compare them against your forecasts. This is also a good time to follow up on any outstanding invoices and ensure that your accounts receivable are in good shape. By tightening up your financials now, you’ll be in a stronger position to manage the increased workload later.

3. Update Office Policies and Procedures

The relatively quiet period in late August is a great opportunity to review and update your office’s policies and procedures. Whether it’s refining workflows, updating employee handbooks, or implementing new compliance measures, making these changes now will ensure that your team is aligned and ready for the busy season.

4. Plan Staff Training

September’s workload can be overwhelming, so use the last weeks of August to plan and execute any necessary staff training. Whether it’s a refresher on software, compliance, or office procedures, this training will help your team work more efficiently when the pace picks up. It’s also a good time to schedule any required continuing legal education (CLE) for attorneys.

5. Tackle Back-Burner Projects

Every law office has those projects that never seem to get done—whether it’s reorganizing the supply room, updating the website, or finally switching to that new case management software. Use this quieter time to tackle these back-burner tasks, so they don’t become distractions later.

6. Schedule Maintenance and Repairs

If your office requires any maintenance or repairs, the last two weeks of August are the perfect time to get them done. Whether it’s IT maintenance, updating equipment, or fixing that leaky faucet, taking care of these tasks now will prevent disruptions when the office gets busier.

7. Review Client Communications

With the increase in workload that September brings, communication can sometimes become less personal. Take the time in late August to review your client communication strategy. Ensure that all pending communications are handled, and consider setting up automated reminders or updates to help manage client expectations during busier times.

8. Plan for Q4

While the focus might be on getting ready for September, it’s also smart to look ahead to the final quarter of the year. Use this time to outline key goals, set priorities, and schedule important deadlines. By planning now, you’ll have a roadmap to guide your team through the rest of the year.

9. Organize Your Workspace

A cluttered workspace can lead to a cluttered mind. Take advantage of the quiet time to declutter and organize your office. Whether it’s cleaning out your desk drawers, organizing digital files, or rearranging your workspace for better efficiency, a tidy environment will help you stay focused and productive when things get busy.

By taking care of these tasks in the last two weeks of August, you’ll not only ensure a smoother transition into September but also position your law office for greater success in the months to come. So, take advantage of this downtime to get ahead—you’ll thank yourself later!
