January 29, 2025

Stormy weather, with snow, ice, rain and wind are a distinct possibility this time of year. You can use this sample safety briefing to remind your staff to keep themselves, their families, patients and co-workers safe during winter storms.

Subject: Winter Storm Emergency Safety Briefing

Dear [Law Office Staff],

As we approach the winter season, it is crucial for all members of our law office to be well-prepared and informed about safety measures in the event of a winter storm emergency. Your safety is our top priority, and we want to ensure that everyone is equipped to navigate any challenges that may arise during adverse weather conditions.

1. Stay Informed:

  • Regularly monitor weather forecasts, especially during winter months.
  • Pay attention to storm warnings or advisories in our area.
  • Stay connected to local news and official communications for updates.

2. Communication:

  • Confirm that your contact information in our emergency contact database is up-to-date.
  • Familiarize yourself with the communication channels established for emergency situations within the office.
  • Promptly report any changes in your contact information to the designated personnel.

3. Transportation:

  • Plan for potential delays during your commute and allow extra time for travel.
  • Stay informed about local transportation advisories and road closures.
  • Consider carpooling with colleagues or using public transportation if feasible.

4. Office Closure:

  • In the event of severe weather conditions, the office may be closed for the safety of our staff.
  • Keep informed about office closures through official communication channels.

5. Personal Safety:

  • Dress appropriately for cold weather, including layers, gloves, and a hat.
  • Exercise caution on slippery surfaces, such as parking lots and sidewalks.
  • If conditions are unsafe, consider delaying non-essential travel.

6. Emergency Supplies:

  • Confirm the availability of emergency supplies, such as flashlights, blankets, and non-perishable snacks, in designated areas within the office.
  • Familiarize yourself with the location of emergency exits and evacuation routes.

7. Legal Documents:

  • Ensure the safety and security of legal documents by following established protocols for document storage and backup systems.

8. Evacuation Plan:

  • Familiarize yourself with the office’s evacuation plan.
  • Follow instructions from designated safety personnel in the event of an evacuation.

9. Remote Work:

  • Be prepared to work remotely if the office is closed.
  • Ensure access to necessary legal documents and communication tools from home.

Your safety is paramount to us, and we appreciate your cooperation in adhering to these guidelines. If you have any questions or concerns, please do not hesitate to reach out to [Emergency Contact Person].

Thank you for your attention and commitment to maintaining a secure working environment.

Stay safe!

Sincerely,
