Your long-awaited and well-deserved summer vacation is approaching. Is your staff prepared to run the office smoothly in your absence? Use this list to see if you have the bases covered.

Vacation Preparation Checklist for Law Office Administrators

  1. Delegate Responsibilities:
    • Assign the paralegal to handle client intake and initial case assessments during your absence.
    • Designate the senior legal assistant to oversee the office schedule and coordinate with attorneys.
  2. Create Detailed Instructions:
    • Document the process for managing client files, including intake forms, document organization, and case updates.
    • Provide instructions on how to handle incoming phone calls, schedule appointments, and take messages.
  3. Inform Attorneys and Staff:
    • Notify all attorneys and support staff about your upcoming vacation and the designated points of contact in your absence.
    • Communicate any relevant information about ongoing cases or projects.
  4. Handle Ongoing Cases:
    • Ensure that essential case files are organized and accessible to attorneys and support staff.
    • Appoint a paralegal or legal assistant to monitor case deadlines and court appearances.
